I need to plan Mr Jack's travel to Lima/Peru for summit. So do you mind if you share the schedule of the summit with us?
I can take necessary actions for him not to miss important events or activities as it takes almost 30 hours to get there. At least, I had better learn when the event will exactly starts and when Machu Picchu visit will happen.

I need to plan for Mr. Jack's travel to Lima/, Peru for the summit. I need to plan for Mr. Jack's travel to Lima, Peru for the summit.

when we list the city and country (or state/province) that it resides in, we use a comma as the separator.

So do you mind if you share the schedule of the summit with us?

So do you mind if you, could you please share the schedule of the summit with us? So, could you please share the schedule of the summit with us?

I'd be careful using "do you mind" in business travel conversation. It can come across as rude depending on context. Simpler is safer here. https://dictionary.cambridge.org/dictionary/english/do-you-mind -> "said to someone when you feel annoyed with that person for what they have just done or said"

I can take necessary actions for him not to miss important events or activities as it takes almost 30 hours to get there.

I can take necessary actions for him not towould like to ensure he does not miss important events or activities, as it takes almost 30 hours to get there. I would like to ensure he does not miss important events or activities, as it takes almost 30 hours to get there.

At least, I had better learn when the event will exactly starts and when Machu Picchu visit will happen.

At least, I had better learn when'd like to know when exactly the event will exactly starts and when the Machu Picchu visit will happen. At least, I'd like to know when exactly the event will start and when the Machu Picchu visit will happen.

"I had better learn..." can sound demanding when communicating with whomever you're asking for the schedule details from. The second format is more polite. Moved exactly to modify when because it feels more natural Added "the" in front of Machu Picchu. Normally we don't use the definite article in front of a location like this, but Machu Picchu is being used as a descriptor for the word visit, and when using visit as a noun like this, we do use a definite article with that.
